How Billing Works

Prepaid Balance System

LeanPBX uses a prepaid balance system. You add funds to your account, and charges are deducted as you use the service. There are no surprise bills and no credit checks — you always know exactly what you are paying for.

What Gets Charged

Your account balance is used for three types of charges:

📅 Subscription Plan

A fixed monthly fee based on your chosen plan. Covers platform access, features, and a set number of extensions. Billed on your monthly billing date.

☎ Phone Number Fees

Each phone number has its own monthly fee. Some numbers also have a one-time setup fee when first purchased. Billed on your monthly billing date.

📞 Call Charges

Outbound calls are charged per minute based on the destination. View current rates on the Call Rates page.


The Monthly Billing Cycle

LeanPBX processes your monthly charges automatically on your billing date — the day of the month you first subscribed. Here is what happens each cycle:

Billing Reminder

A few days before your billing date, you receive an email listing your upcoming charges, broken down by line item, along with your current balance.

Bill day

Billing Day

Your plan fee, phone number fees, and any extension fees are deducted from your balance. You receive a confirmation email with a receipt.

Automatic Retries

If the first attempt failed due to insufficient balance, the system retries automatically over the next two days. You receive an email after each attempt.

Account Suspension

If all three attempts have failed, your account is temporarily suspended until you add funds.

Automatic Recovery

If your account is suspended and you add funds, the system automatically processes the outstanding charges and reactivates your service — no action needed on your part beyond adding funds.


Viewing Your Billing Details

Go to Billing > Billing Overview to see a complete picture of your account finances:

Current balance, color-coded by health
Itemized breakdown of next bill
Next billing date
Projected balance after next charge
Recent transactions with downloadable invoices
Transaction type & status badges

Invoices and Receipts

Every completed transaction generates a unique receipt number. Download a PDF invoice by clicking the download icon in the Recent Transactions table on the Billing Overview page.
